Team Management

Add your crew, set their roles, and control who can do what.

Get Your Team on Board

Whether it's just you and an apprentice or a crew of ten, A.X.E.L makes it easy to manage your team. Everyone gets their own login, sees what they need to see, and can crack on with their work without stepping on each other's toes.

Adding Team Members

  1. Go to SettingsTeam
  2. Tap Add Team Member
  3. Enter their name and email address
  4. Choose their role (more on that below)
  5. Hit Send Invite

They'll get an email with a link to set up their account. Once they're in, they'll appear on your team list and you can start assigning them to jobs and appointments.

Roles Explained

Not everyone needs access to everything. A.X.E.L has three roles to keep things sensible:

Admin

  • Full access to everything
  • Can manage billing and subscription
  • Can add and remove team members
  • Can change business settings
  • Can see all financial data — invoices, quotes, payments
  • Can delete jobs and customers

This is you, the business owner. There should be at least one admin at all times.

Manager

  • Can create and manage jobs, quotes, and invoices
  • Can view team schedules and assign work
  • Can see financial data
  • Can add customers
  • Cannot change business settings or billing
  • Cannot add or remove team members

Perfect for your site supervisor or office manager — someone who needs to run the day-to-day but shouldn't be messing with the subscription or company details.

Staff

  • Can view jobs and appointments assigned to them
  • Can log timesheets
  • Can update job status and add notes
  • Can view customer contact details for their assigned jobs
  • Cannot create quotes or invoices
  • Cannot see financial data or other team members' schedules

This is for your tradesmen on the tools. They see their work, log their hours, and that's it. No access to stuff that doesn't concern them.

Example: Dave the plumber only sees the jobs assigned to him. He can't see what you've quoted or how much the customer's paying. He just sees where to go and what to do.

Changing Someone's Role

Promoted your apprentice? Need to give someone more access? Just:

  1. Go to SettingsTeam
  2. Tap the team member's name
  3. Change their role
  4. Save

Changes take effect immediately. No need for them to log out and back in.

Removing Team Members

If someone leaves or you need to revoke access:

  1. Go to SettingsTeam
  2. Tap the team member
  3. Hit Remove
  4. Confirm

Their account is deactivated straight away. Any jobs and timesheets they were linked to stay in the system — nothing gets deleted. You just won't be able to assign them new work.

Good Practice

  • Keep admin access tight — only people who genuinely need full control
  • Use manager for office staff — they can run things without accessing billing
  • Staff role for everyone on site — keeps things clean and secure

The right roles mean less confusion, fewer mistakes, and no awkward conversations about who deleted that invoice.
