Using the Calendar

Schedule visits, assign your team, and keep every appointment in one place.

Your Day, Sorted

The calendar is where you manage every visit, appointment, and job booking. No more double-booking yourself or forgetting that quote you promised Mrs. Patterson on Thursday. Everything's in one place.

Scheduling a Visit

  1. Open the Calendar from the sidebar
  2. Tap the date and time you want, or hit New Appointment
  3. Pick the customer and job (or create new ones)
  4. Choose the appointment type
  5. Set the start time and duration
  6. Assign a team member (or yourself)
  7. Save it

Done. It's on the calendar and everyone who needs to know, knows.

Appointment Types

A.X.E.L lets you categorise appointments so you can see at a glance what your day looks like:

  • Quote visit — going to price up a job
  • Job visit — doing the actual work
  • Follow-up — checking back on completed work
  • Consultation — initial chat with a potential customer

Each type shows with a different colour on the calendar, so you can scan your week in seconds.

Duration

Set how long each appointment should take. Be realistic — if a first fix takes a full day, block out a full day. This stops you accidentally booking two jobs at the same time.

Example: Quote visit — 30 mins. Boiler install — 6 hours. Emergency call-out — 2 hours.

Assigning Team Members

If you've got a team, you can assign appointments to specific people. Each team member sees their own schedule, and you can view everyone's calendar from the main view.

This is brilliant for planning. You can see who's free, who's overloaded, and move things around with a quick drag and drop.

  • Assign one person or multiple people to an appointment
  • Filter the calendar by team member to see individual schedules
  • Team members get notified when they're assigned something new

Downloading Appointments (.ics)

Want the appointment in your phone calendar too? Every appointment has a Download .ics option. Tap it and the appointment drops straight into Google Calendar, Apple Calendar, Outlook — whatever you use.

Handy if you live by your phone calendar and want everything synced up without faffing about.

Completing Appointments

When you've done the visit, mark it as Complete. This updates the job record and keeps your history tidy. You'll be able to see exactly when you visited, who went, and what was done.

Cancelling Appointments

Plans change. Customers cancel. Weather happens. If you need to cancel an appointment:

  1. Open the appointment
  2. Tap Cancel
  3. Add a reason if you want (optional but useful for your records)

Cancelled appointments stay in your history — they don't just vanish. So if a customer says "you never showed up" three months later, you've got the proof that they cancelled.

Calendar Views

Switch between Day, Week, and Month views depending on what you need. Day view is great for seeing the nitty-gritty of a busy day. Month view is perfect for planning ahead and spotting gaps.

The calendar is the heartbeat of your business. Use it properly and you'll never miss an appointment again.
