Why Invoicing Matters
No invoice, no money. Simple as that. A.X.E.L lets you create clean, professional invoices that make you look the business — whether you're a one-man band or running a crew. No more scribbling figures on the back of a receipt.
Creating an Invoice Manually
Sometimes you just need a quick invoice — maybe for a call-out fee or a small repair. Here's how:
- Head to Invoices from the sidebar
- Tap New Invoice
- Pick the customer (or create a new one on the spot)
- Add your line items — description, quantity, and price
- Set your payment terms and due date
- Hit Save
That's it. Done in under a minute.
Creating an Invoice from a Job
This is where A.X.E.L really saves you time. If you've already got a job set up with costs and materials, you can turn it into an invoice with a couple of taps.
- Open the job you want to invoice
- Tap Create Invoice
- A.X.E.L pulls in the customer details, line items, and costs automatically
- Review it, tweak if needed, and save
No retyping. No copying numbers across. It just works.
Line Items
Every invoice is built from line items. Each one has:
- Description — what the work or material is
- Quantity — how many
- Unit price — cost per item
- VAT — if you're VAT registered, toggle it on per line
Example: "Supply and fit kitchen tap — 1 × £180.00"
Add as many line items as you need. A.X.E.L totals everything up automatically, including VAT if applicable.
Deposits and Part Payments
Need a deposit upfront before you start work? No problem. When creating an invoice, you can mark it as a deposit invoice — just set the amount to whatever you need upfront. Check out our Milestone Payments and Deposits article for the full breakdown.
Payment Terms
Set your payment terms so customers know exactly when to pay. Options include:
- Due on receipt — pay now, mate
- Net 7 — 7 days to pay
- Net 14 — 14 days
- Net 30 — 30 days
- Custom — pick any date you want
The due date shows clearly on the invoice so there's no "I didn't know when to pay" excuses.
Sending the Invoice
Once your invoice is saved, you can send it straight to the customer. Tap Send Invoice and A.X.E.L generates a professional PDF with your logo, business details, and all the line items laid out properly.
The customer gets it by email or you can share the PDF link directly — whatever works. It looks proper professional, which means you're more likely to get paid on time.
Tracking Payment
Every invoice shows its status: Draft, Sent, Viewed, Paid, or Overdue. When the money lands, mark it as paid and your records stay squeaky clean.
No more chasing your tail wondering who's paid and who hasn't. It's all right there.
