WhatsApp Integration

Let the WhatsApp bot capture leads and answer questions while you crack on with work.

How the WhatsApp Bot Works

The A.X.E.L WhatsApp bot sits on your business WhatsApp number and handles incoming messages for you. Someone texts asking for a quote? The bot captures their details and creates a lead in your pipeline. You don't have to stop what you're doing.

It's not replacing you — it's covering for you while you're up a ladder or under a sink. Think of it as a receptionist who never takes a lunch break.

What Happens When Someone Messages

When a potential customer sends a message to your WhatsApp number, here's what goes down:

  1. The bot greets them and asks what they need help with
  2. It gathers the key info — name, what the job is, location, any details
  3. It answers basic questions about your services using info from your website
  4. A new lead is created in your A.X.E.L pipeline automatically
  5. You get a notification so you can follow up when you're ready

The conversation feels natural, not robotic. The bot knows about your business — what services you offer, your area, your pricing structure (if you've set that up). It gives sensible replies rather than generic rubbish.

Automatic Lead Capture

This is the big one. Every WhatsApp conversation becomes a lead in your pipeline. The bot pulls out:

  • Customer name
  • Phone number (obviously — it's WhatsApp)
  • Job description — what they asked about
  • Any photos they sent — these get attached to the lead

No more copying and pasting from WhatsApp into a notepad. No more forgetting to follow up because the message got buried under 50 group chat notifications.

💡 If the bot detects a repeat customer, it'll link the new lead to their existing profile automatically.

Slash Commands

You (and your team) can use slash commands in the WhatsApp chat to manage things quickly:

  • /new — Manually create a new lead. Useful when you're on a call and want to log it quick: /new John Smith, boiler repair, 14 Oak Lane
  • /help — See all available commands and what the bot can do

Slash commands are for you, not your customers. Customers just chat normally and the bot handles the rest.

What the Bot Can Answer

The bot pulls information from your A.X.E.L profile and website to answer common questions:

  • "What areas do you cover?" — Uses your service area settings
  • "How much for a..." — Gives ballpark info if you've set pricing guides, otherwise tells them you'll send a proper quote
  • "Are you available this week?" — Lets them know you'll check and get back to them
  • "What services do you offer?" — Lists your services from your profile

It won't make promises on your behalf or commit to prices you haven't set. It's smart enough to say "let me get the boss to get back to you on that" when it's out of its depth.

Getting Set Up

The WhatsApp bot is an add-on to your A.X.E.L subscription. Once enabled, you'll connect your WhatsApp Business number through the settings page. The whole setup takes about five minutes.

If you got your website through A.X.E.L, you get 30 days free on the bot to try it out. After that, it's a small monthly add-on. Worth every penny when you see leads rolling in while you're on-site.
