Your Customer List
Every time you convert a lead into a job, A.X.E.L builds up your customer list automatically. No spreadsheets, no scribbling names in a notebook — it just happens.
Head to Customers from the main menu and you'll see everyone who's ever done business with you. Names, contact details, job history — all in one place.
You can search by name, phone number, or email. If you've got hundreds of past clients (good problem to have), the search is instant.
Repeat Customer Detection
Here's where it gets clever. When a new lead comes in — whether that's through your website, WhatsApp, or manually added — A.X.E.L checks if that person already exists in your system.
If it spots a match (same phone number or email), it'll flag it straight away:
🔁 Repeat customer — 3 previous jobs, last one was June 2025
Why does this matter? Because you treat a repeat customer differently. You might give them a better rate, skip the hard sell, or just greet them by name and ask how that kitchen extension turned out. That's the stuff that wins loyalty.
Customer Profiles
Tap on any customer and you'll see their full profile:
- Contact details — phone, email, address
- Job history — every job you've done for them, with status
- Quotes sent — what you quoted, whether they accepted
- Invoices — what's been paid, what's outstanding
- Total spend — how much this customer has spent with you overall
- Notes — anything you've added along the way
Think of it as a mini dossier on each client. When Mrs. Patterson rings up asking about her bathroom, you can pull up her profile in seconds and know exactly what's going on.
Linking Leads to Customers
When A.X.E.L detects a repeat customer on a new lead, it links them automatically. But sometimes you might need to do it manually — maybe they used a different phone number, or their partner got in touch instead.
Just open the lead, tap Link to Customer, search for the existing customer, and connect them. The lead now sits under that customer's history, and their total spend updates accordingly.
You can also merge duplicate customers if you end up with two records for the same person. Tap the three dots on a customer profile and choose Merge.
Total Spend Tracking
This one's dead simple but dead useful. Every customer profile shows their total spend — the sum of all paid invoices.
Sort your customer list by total spend and you'll instantly see your best clients. These are the people worth sending a Christmas card to. Or offering a discount on their next job. Or just picking up the phone to check in.
It's the kind of insight that bigger companies pay thousands for with fancy CRM software. You get it built right in.
Quick Tips
- Add notes to customer profiles — "has a dog called Rex" or "prefers texts over calls" — the little details matter
- Check the repeat customer flag before quoting — knowing their history helps you price right
- Use total spend to identify your VIPs and look after them
